Welcome to Sunny Days! - A Nashville, Tennessee In-home Daycare
Full-Time and Part-time Enrollment Procedures
In order to enroll your child at Sunny Days, there is necessary paperwork that will need to be completed prior to the beginning of care. I will not assume care of your child(ren) if the necessary paperwork, fees and supplies are not received. All information will be kept confidential and is for my records only.

Paperwork:
The following paperwork must be filled out and returned to me by the first day of care.  Just click on each link to print the forms.

I will also require a current copy of your child's immunization records.

Fees:
Full-Time Care (contracted): $125 per week including meals & snacks.  This price is based on roughly 40 hours per week.

We MUST have a signed contract in order to honor the above weekly rate.

Payment is required in advance for all contracted days of care, regardless of whether or not your child is in attendance.  Payment will NOT be required if Sunny Days is unexpectedly closed for illness/emergency/personal day.

Though Sunny Days will not necessarily increase tuition costs on an annual basis, I reserve the right to do so with a minimum of 30 days notice to families enrolled.

The first week’s fee must be received prior to your child's first day of contracted care. Care will not commence unless this has been received.

Supplies:
The following supplies are to be left at Sunny Days for full-time care.  Please label them with your child's name.  All items will be placed in your child’s cubby. I will also notify you when your child’s supplies need to be replenished.
·      Complete change of clothes, including socks
·      Package of diapers, wipes, pull-ups or a couple pairs of underwear if applicable
·      A favorite blanket, pillow, stuffed animal for quiet time

Adjustment/Trial period
There will be a two-week trial period for all children. The contract may be terminated by either me or the child's parents during these two weeks if either party feels there are reasons to do so with out the need for a two-week notice.

Termination
After the trial period a two-week notice must be given prior to terminating childcare services, or to make changes in the contract. Parents will be responsible for paying for the two weeks after notice is given regardless of whether parents choose to keep children in care or not for those two weeks. If I feel that the requirements of the contract are not being met or if there is a conflict in caring for a child I may choose to terminate the contract. I will give families a minimum of a two week notice, except for reasons such as, but not limited to: destructive uncontrollable or violent behaviors, habitual tardiness in pick up of child, and lateness of payment or nonpayment. These situations will be grounds for immediate termination without notice or refunds. If payment is not made and your account remains delinquent, legal actions will be taken. All collection charges, late charges and legal fees will be added to your account and owed to the child care.

Sunny Days reserves the right to terminate the service if:
·      Fees are not paid in full, including any fees for late pick-up or late payment
·      The parent is not supportive of the policies and procedures
·      The provider is treated in an abusive or derogatory manner
·      The child fails to adjust in the day care
·      The child's behavior is disruptive, unmanageable, and/or harmful to the other children
or to the provider.  There will be a trial period of two weeks; either party may terminate              services during this time without penalty. Feel free to call to “check in” at any time.

Hours of Operation
Monday through Friday 7:30 to 6:00.

Overtime Rates & Late Fees
Late Pick-up Fee: $1 per minute . No exceptions.
(This doubles  on Wednesday... we have church.)
Late Payment Fee: $10 per day. No exceptions.
Returned Check Fee: $25 and any other fees incurred.

Late Payment Fee: Accounts not paid in full by pick-up time Friday evening will be assessed a $10 per day late fee until payment is received. Care will also be suspended until the overdrawn account is paid in full.

Returned Check Fee: In the event of a returned check, Parents will be responsible for a $25 returned fee as well as any fees incurred due to the returned check. All future payments must be paid in cash or money order.

Payment Schedule
I have a “No pay, no play” policy. Payments will be made in advance for contracted childcare and are due no later than pick-up time Friday evening for the following week.  If your child will be absent for the following week, payment must still be made on the Friday prior to the scheduled absence. I will accept payment in the form of cash, personal check, or money order. Make checks payable to: Sunny Days.

Receipts
Receipts will be given for cash payments, or upon request. I will also keep track of your payments throughout the year for tax purposes. You will receive a Year End Tax Statement by the end of January with the total amount paid for childcare services from the previous year.

Please note: I do not mail out Year End Tax Statements. It is the responsibility of the parent to contact me for a Year End Tax Statement should your child no longer attend Sunny Days.

Attendance
Payment obligation is based on the time slot you agree to use for childcare, not on actual hours of attendance. Fees will be charged based on contracted days including missed days due to illness, holidays, parent vacations, or inclement weather. No refunds or deductions will be made for days your child is absent. You are paying me for your child’s childcare space as well as for my services.

Two consecutive No-shows/No-calls are grounds for immediate termination at my discretion. You will be billed for two-week tuition. Please be courteous and phone if your child will not be attending that day. As I am busy attending to the children, I may not be able to reach the phone. Please be sure to leave a message as I do check messages throughout the day and return calls if necessary.

Leave of Absence
I cannot hold a child’s space while you are not working, on maternity leave, or for parent or child illness etc. unless you continue to pay for childcare services. In order to reserve your child’s space during the absence fees must be paid in advance before the scheduled leave. Failure to secure the space prior to the absence will result in the loss of your childcare space.

Religious & National Holidays
Payment is not expected for major holidays when they fall on contracted days. Sunny Days will be closed in observance of the following holidays:
·      Memorial Day
·      Fourth of July
·      Labor Day
·      Thanksgiving (Thursday & Friday)
    Christmas Eve
·      Christmas Day
·      New Years Day

Early Closings
On the days listed below I will be closing early so that I may spend time with my family. Please make arrangements to have your child picked up by this time. Late fees will be applied to late pick-ups after the stated closing hours.
·     New Years Eve-Closing time is 5:00 pm

Provider’s Vacations
Each calendar year Sunny Days may be closed up to 2 weeks (10 days not including weekends) for provider’s vacation. Parents will be given as much advance notice as possible, with a minimum of two weeks notice.  No payment is required when Sunny Days is closed for provider’s vacation. Parents are responsible for making other arrangements for childcare while Sunny Days is closed. If at all possible I will hire a substitute caregiver during my vacations but I cannot guarantee this so please have a back-up plan in place.

Parent’s Vacations
Please notify me at least two weeks in advance if your child will be absent due to family vacation. Full payment is required for any days your child is absent. Remember, you are paying for your child’s childcare space.

Personal Days
Occasionally I may find it necessary to take a personal day off for training, or illness. No more than 5 personal days will be taken per calendar year. Payment is not required if Sunny Days is closed for personal days. Parents are responsible for making arrangements for childcare on provider’s personal days. But once again, if I can hire a substitute caregiver I will do so and Sunny Days will remain open as usual.

Substitute Care
Should I need to be away from the daycare for a short amount of time due to unforeseen circumstances (emergency or doctor’s appointments); parents will be notified and are free to make their own arrangements if they prefer, but substitute care will be provided here if at all possible, by a fully qualified person I trust and would leave my own child with. Care of this nature is entirely dependent upon the schedule of the substitute provider(s) and may not always be available. In the event of an emergency, should a substitute provider not be available at Sunny Days, parents will be phoned to pick up their child and payment will not be required for these hours of closing.

Signing In & Out
I do not keep a sign in/out sheet, however, you must bring your child to the door. Make sure that I am aware that your child has been dropped off.  Please understand that for the protection of my family as well as yours, I cannot allow any men into our home until we are familiar with them, unless they are accompanied by a female partner or spouse.

Website Photos
Occasionally I will take photos of the children to post on my website or facebook page, with your permission. If you are uncomfortable with this, let me know and I will not post your child's picture.

Arrivals & Departures
Sunny Days opens at 7:30 am. Please do not drop off prior to opening without prior consent. Occasionally you may wish to send someone other than yourself to drop off or pick up your child for the day. Be sure to notify any persons doing so of the drop off/pick up time procedure. Always notify me should there be someone other than you dropping off or picking up for the day.  Any persons taking your place for drop-off/pick-up times should be listed on the Parent/Provider contract under “Contacts”. If they are not listed a written authorization from you is required. I will not release the child without your approval and their photo I.D. for both the protection of your child and myself.

Safety:
Please be in control of your child during pick up times. At pick up, please do not let your child leave the house until you are leaving also. Children are not permitted to go out to their car unattended.

Our house is set up as a safe environment for children. We have a tornado safe room, smoke alarms, fire extinguishers, and emergency fire and storm procedures.

I am certified in Infant and Child CPR. In the event of any injury (other than minor scrapes, bumps, scratches, etc.), the parents will be notified immediately! Although supervision is constantly given, I cannot be by the child's side at all times to prevent falls, tripping, bumps, etc. If the child is injured in a non-life-threatening way, I will assess the child and provide home first-aid.

In the event of a serious injury, the parents will be notified immediately and necessary steps will be taken to obtain medical aid. For emergency purposes, PARENTS MUST KEEP ALL CONTACT NUMBERS CURRENT. If I am unable to reach you, or your emergency contacts, I will take appropriate action, including calling 911 and having your child transported by ambulance to the hospital.

You and your family insurance is/are responsible for the cost of medical help or treatment due to accidents or illness while in child care. Sunny Days is not responsible for any accidents that may happen to your child or for any medical or legal charges.

Meals
Unless your child requires a specific diet or is still on formula or baby food, well-balanced snacks and meals will be provided. Food is offered to your child, but your child is not forced to eat. If your child will be arriving after our 8:00 breakfast or 12:00 lunch time, please be sure to provide the meal before the child arrives. This helps our day run smoothly.

Food from Home
Parents are welcome to prepare special birthday or holiday treats with advance notification as long as there is enough for the entire group. Please do not bring gum or candy from home.

Nap/Quiet Time
Our rest period is generally from 12:30 p.m. to 2:30 p.m. (approximate times). To avoid disturbing the children who are napping, please try not to schedule pick-ups at this time. If you must pick-up your child during quiet time, please notify me in advance so that I may have your child ready when you arrive. No drop-offs will be permitted during nap time. If you do not wish to have your child taking naps, my program will not fit your family’s needs. I will provide a quiet place for your child to rest. I will also provide each child their own rest mat or crib unless you prefer to use your own. Please provide your child with a pillow and blanket. Infants less than 2 years of age will be placed in a play-pen or crib for naps. If your child has a special stuffed animal/doll or blanket to sleep with, they will be allowed to use it at this time. These items will be put away during the day and only be brought out for quiet time. Children who do not fall asleep or who wake early will be directed to lay or sit quietly and read if they choose so as not to disturb other sleeping children.

Diapers/Toilet Training
Each child will be changed when needed. I use disposable diapers only. Please provide me with a pack of diapers and wipes as stock. I will notify you when the stock is getting low. If I have notified you and the stock runs out during the day, there will be a charge of $5.00 per diaper and $1.00 per wipe that I have to provide. Toilet training will only be done when the child consistently shows interest and is able to remove clothing, wipe themselves, and replace clothing. Training pants or pull-ups are required during potty training. Cleanliness and hand washing will be emphasized during the training process. Children will not be disciplined for accidents during toilet training.

Toys
Child may bring 1 (one) toy to play with each day. If your child brings a toy, he/she will be encouraged to share. I will not be held responsible for any personal property that is destroyed.  No guns or games that encourage physical violence will be tolerated.

TV
Television viewing will be limited to age appropriate shows and movies, with a reasonably limited amount of viewing time.

Discipline
Spanking or any other form of physical punishment is prohibited. Discipline shall not be associated with food or toileting. Children shall not be subjected to discipline that is severe, humiliating or frightening.  The child’s developmental age and stage must be taken into consideration. The actions taken to discipline the child are as follows:
            1 Verbal warning and redirect
            2 Time out
3 Removal of a privilege and warning to call parents
4 Call to parent for intervention
5 Call to parent for mandatory pick up

My disciplining procedures are very consistent so as not to confuse the children as to what they are and are not allowed to do. I may however give more but no less than one verbal warning. After 3 mandatory pick ups for any reason, child may be prohibited from returning either temporarily or permanently without refund of money.

            14. Follow directions

Manners
Respect is to be taught and adhered to at all time. Manners will be re-enforced when the children are in my care. I believe children need to have respect for their parents and other authority figures. Manners are very important and will be taught daily; such as:
  • Chew with mouth shut and do not talk with mouth full of food
  • Do not say “I want…” rather say “May I please…”
  • Use thank you and you’re welcome
  • Do not interrupt people when they are speaking.  Say "excuse me" and wait to be addressed.
  • Please speak with me about the manners you enforce at home as I will do my best to incorporate those rules in my home

Illness
Children will be visually screened as they arrive. Children will be isolated in the event that they are ill. If the child exhibits any of the following symptoms, they will need to be picked up:
o Fever of 100 degrees or higher
            o Communicable disease
            o Diarrhea
            o Vomiting
            o Draining Rash
            o Eye discharge or pinkeye
            o Lice
o Asthma flare up and no medication provided
o Too tired or ill to participate in normal activities

Your child will be allowed to return when he or she is free from medication and symptoms for 24 hours or with a doctor’s authorization to return. In the event that your child is sick, I will try to reach you twice with 15 minutes passing between each call. After that, if I am unable to contact you, I will call emergency contacts.

If your child becomes ill please notify me of the details so I may notify other parents whose children have been exposed.

Medications
Written consent is required for ANY medication. All prescriptions must be in original containers labeled with the child's name. All non-prescription medications must be in original containers bearing the original label, child's name and age, expiration date and directions for dosages.
Children on medication must remain out of care for 24 hours from the time of the first dose of medicine before returning to care. This is to protect the child in case of allergic reaction to the medication. No exceptions will be made. If the child refused to take medication, the parent will be notified and must come to administer the medication. Medication is to be given at home whenever possible, especially eye drops & nebulizing treatments.

Smoking
Smoking is not permitted in our home.

Animals
We have two indoor kitties, Winston and Johnny Cash. They’re harmless and up-to-date on their shots.  One is short-haired and one is long-haired.
